KSeF and Small Businesses: How to Keep Your Existing Invoicing Software and Avoid Doing Anything Manually

Until recently, a significant number of small businesses in Poland issued invoices the same way they had a decade ago – on paper, from an invoice pad, or, at best, in Word or Excel. Some used free invoicing software, while others relied on a module they received “for free” from their bank as part of their business account. Their accountant would still receive everything as PDFs or scans and manually enter the data into their own system. It worked – until KSeF came along.

As of February 1, 2026, the National e-Invoicing System (KSeF) 2.0 was launched for large companies, and from April 1, 2026, it became mandatory for virtually all businesses issuing invoices – with the exception of the smallest businesses whose monthly sales documented by invoices do not exceed PLN 10,000. They have until January 1, 2027.

In practice, this means that a huge number of small businesses now have to switch from paper and PDFs to structured e-invoices submitted to the Ministry’s system via an API. And very often, it turns out that this is not simply a matter of “uploading one file” – it requires a real integration.

Why Small Businesses Can Finally Have Software Built Around Their Needs

Until recently, dedicated software – a system built specifically for a particular business rather than a universal off-the-shelf tool – was practically reserved for large companies. Only they had the budget and time to commission solutions tailored to their processes, while small business owners had to make do with ready-made software that did roughly what they needed – but never exactly what they needed.

That is changing, and not because small businesses suddenly have bigger budgets. It is changing because building custom software has never been as accessible as it is today.

We no longer start every project from scratch. We have ready-made, tested “building blocks”: authentication and permissions, an admin panel, process management, and mobile applications. Building a dedicated system today is largely about selecting and adapting these building blocks to a specific business, rather than developing everything from the ground up. And that is precisely what makes custom software accessible to smaller companies as well.

KSeF as Another Ready-Made Building Block

Our invoicing software with built-in KSeF support is built according to exactly the same principle – as a standalone, ready-made module, using the same technology as the rest of our building blocks.

The same layer generates an invoice in the required structured format, sends it via API to KSeF, receives the KSeF number and the official receipt confirmation (UPO), and then passes that information on – to the accounting system or another system used by the business.

This means that when we build software tailored to a company’s business – a sales system, an order management platform, or a customer-facing application – we do not have to treat invoicing and KSeF as a separate, expensive project.

We simply add the ready-made building block and adapt it to the way that particular company actually works, instead of developing everything from scratch every time.

What This Means for a Small Business in Practice

For a business owner, this means that invoicing and KSeF compliance no longer have to be a separate, disconnected issue. Instead, they become part of software tailored to their industry and way of working:

  • Invoices are created where the actual business process ends – in a system built around the company’s needs, rather than in a separate, generic invoicing application.
  • Invoices are sent to KSeF automatically in the background, because the invoicing module is part of the same system rather than an add-on that needs to be synchronized manually.
  • The accountant gets a complete set of documents in one place, without having to re-enter data or keep track of statuses manually.
  • The company pays for adapting ready-made building blocks to its business, rather than paying to build invoicing and the KSeF integration from scratch.

In other words, a small business no longer has to choose between “sticking with a generic invoicing program” and “custom software is too expensive for us.”

Ready-made building blocks – including the KSeF module – mean that software tailored to a specific business is now within reach for smaller companies too.

Wondering What This Could Look Like for Your Business?

If your company is still invoicing “the old-fashioned way” or using generic software that does not quite fit the way you work, we would be happy to show you what this can look like in practice.

Get in touch with us through the contact form or directly at biuro@thecodebrothers.pl. We will look at how we can combine our ready-made building blocks, together with the KSeF module, to create software tailored precisely to your business – without having to build everything from scratch.
